Administrative Assistant

New Leaf Collaborative (NLC) is a California Nonprofit Public Benefit Corporation whose mission is to provide hands-on, experiential learning and leadership opportunities, in areas of science, nature and ecological literacy in order to nurture the social and emotional health of TK-14 students, educators and community partners. 

Position Summary 

Reporting to the Executive Director, the Administrative Assistant will be responsible for performing a number of administrative duties and other tasks providing support where needed. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks. This is a part-time position, starting at 8 to 10 hours per week, offers a flexible schedule and the ability to work virtually with occasional community based travel.

Responsibilities 

Administration: 

● Responsible for organization and maintenance of company files in Google Drive

● Responsible for data tracking of corporate, foundational and municipal grants and contracts

● Assists Board in development efforts including grant writing and donation solicitation and follow up 

● Assist with preparation and distribution of Board meeting materials, attend Board meetings to take meeting minutes as needed 

● Manage and maintain organizational data systems for contacts, contracts, projects and funding opportunities 

● Analyze current operational processes and performance, recommending solutions for improvement when necessary 

● Maintain NLC’s Master Program Calendar 

● Maintain calendar of correspondence with Board, staff, donors and community partners

● Uphold organization policies and standards, ensuring bi-laws regulations are followed

● Work closely with Directors to support team with integrity and contribute toward a trusting, inclusive, and productive environment 

● Website and social media avenues are accurate and up to date

Programs & Services: 

● Manage and respond to incoming inquiries or forwarding correspondence to appropriate personnel 

● Program support for events, meetings and correspondence as needed 

● Proofreader/Editor (spelling/grammar) for printed outreach. 

● Design, message writing, execution and responding to social media outreach 

Desirable Skills and Qualifications: 

● Associate’s Degree 

● 3+ years administrative role in the educational and/or non-profit field 

● Excellent organizational and collaborative abilities 

● Outstanding communication and people skills 

● Working knowledge of Google Suite 

● Grant writing and monitoring experience 

● Ability to manage operational process for maximum efficiency and productivity

● Ability to streamline and implement new systems that support organizational development

● Proven ability to develop innovative solutions for increased services 

● Passion for equity of people and planet 

● Ability to work virtually from home 

● Self-starter, problem solver 

COMPENSATION: 

Position is paid as an employee at $22.00 per hour.
